Administration Officer, Central Maintenance Support.
Join BSM’s Central Maintenance Support team and help keep global ship operations organised, efficient and running smoothly.
As an Administration Officer (CMS) at BSM, you will be supporting the effective and efficient functioning of the Central Maintenance Support team. You will assist the Manager, Central Maintenance Support, in an administrative role. You will also act as the HR liaison officer for the Central Maintenance Support team. You should have good computer skills and should have good knowledge of MS Office, including PPTs and should be able to use AI to the teams advantage.
Key Responsibilities
Supports the BSM Maintenance strategy, standards, policies, procedures, and systems for the most efficient and effective operation of all vessels under BSM full management in accordance with relevant legislation, industry best practices and quality standards
Administrative tasks as assigned by the Manager, Central Maintenance Support.
Manage the IT infrastructure and liaise with BSM IT and MA IT when required. Ensure relevant back up of important documents are maintained
Update BSM OneHub sharepoint with activities related to the Central Maintenance Support team, in consultation with the Manager, Central Maintenance Support
Assist in maintaining the accounts related to the Central PMS Team. This includes billing for database building, quarterly support service billing, purchase orders to MariApps and maintaining, up-to date records for these billings in liaison with the finance team
You will use your IT skills to assist in preparing good PPTs, use AI tools to simplify work load when required and should have good knowledge of MS Office and tools.
As admin officer, you will assist the CMS team manager in arranging team events and will represent the CMS team in common HR activity related matters within BSM.
You are also expected to pick up working knowledge of SmartPAL maintenance and Data Library modules and assist the team with simple tasks, when the work-load is high.
Qualifications & Experience
Bachelor's Degree in Business Administration, Computer Applications, Information Technology, Commerce, or a related discipline.
Proficiency in Microsoft 365 applications (Excel, PowerPoint, Word, Outlook, Teams)
Certification or training in SharePoint, Microsoft 365, or AI productivity tools will be an advantage.
2-3 years of experience in administration, business support, project coordination, or operations support functions.
Experience in document management, reporting, stakeholder coordination, billing support, and records administration.
Experience in the maritime, technical management, engineering support, or IT-enabled services environment will be an added advantage
Skills & Competencies
Fluency in English – both written and spoken.
Advanced knowledge of Microsoft Office applications, particularly Excel and PowerPoint.
Working knowledge of SharePoint, Teams, and collaboration platforms.
Ability to utilize AI tools to improve efficiency and productivity.
Strong organizational, planning, and time-management skills.
Basic understanding of billing, purchase order, and administrative accounting processes.
Ability to coordinate with HR, IT, vendors, and internal stakeholders.
Strong attention to detail, problem-solving ability, and continuous learning mindset.
Willingness to develop working knowledge of SmartPAL PMS and Data Library modules.
