Assistant Fleet Personnel Officer

As an Assistant Fleet Personnel Officer at BSM, you will ssist in the administrative duties necessary for the accurate implementation of the recruitment plan and provides support to department’s members whenever required. Ensure environmental compliance policies are upheld.
Key Accountabilities
1. Performs all the administrative tasks and provides the required support to department’s members for the efficient and well organised execution of recruitment plan.
2. Prepares candidates’ required documentation, such as medical certificates, encodes medical data into the Crew PAL Personnel Management System, updates medical record etc., in order to assist the efficient pre-employment screening of seafarers.
3. Prepares the required documentation according to the requirements of SMC requests, in order to enable the timely travelling of crew to vessels. Monitors the accurate execution of all travelling operations and informs the FPD Marine Officer for any potential discrepancies.
4. Inserts all relevant data and records in the Crew PAL Personnel Management System and relevant databases, ensuring continuous coherence with crew changes.
5. Provides guidance and assistance to assigned seafarer candidates whenever needed and assists with queries arising either for vessel personnel or other departments, contributing towards internal information sharing and coherence.
6. Assists the proper and timely execution of embarkation and disembarkation of seafarers, preparing and providing all the documentation required from the SMCs.
7. Keeps record of all necessary training courses per individual seafarer required by the SMCs and communicates accordingly with the participants to attend the course(s).
8. Applies for Flag State Endorsement Timely and Accuracy; checks endorsement certificates; Flag documents trail tracking
9. Filing and record keeping of all Flag Applications
10. Communication with Flag Authorities and Clients on Flag Application Status
11. Issuance of Crewing Clothing and Safety Shoes to joiners, when/where applicable, as per Company standards
Qualifications & Experience
Bachelor’s degree or certificate in a maritime-related field
No prior relevant experience required
Skills & Competencies
Familiarity with the maritime operations
Very good communication skills
Team work and cooperation
Fluency in English
PC literacy
