Assistant Fleet Personnel Officer - Trainee
As an Assistant Fleet Personnel Officer - Trainee at BSM, you will be responsible for ensuring the smooth and efficient execution of departmental operations by providing comprehensive administrative support. The role plays a key part in maintaining accurate records, supporting pre-employment processes for seafarers, and facilitating effective coordination between internal teams and external stakeholders such as Flag Authorities.
Key Responsibilities
Provide administrative support to ensure efficient and well-organized department operations, including tasks such as purchase order creation, risk assessment preparation, briefings organization, and position scale coordination
Prepare and manage candidate documentation, including tests, CVs, and medical certificates, to support pre-employment screening
Maintain accurate and up-to-date records in personnel management systems and databases
Process Flag State endorsement applications accurately and in a timely manner, including certificate verification and document tracking
Maintain filing systems and records for all Flag applications
Communicate with Flag Authorities regarding application status and follow up as required
Administer processes related to drug and alcohol policy compliance
Update personnel records with applicable collective bargaining agreements and prepare union contribution documentation
Support departmental meetings by preparing materials and recording minutes when required
Perform additional administrative duties as assigned to support overall department effectiveness
Qualifications & Experience
Relevant educational background
Experience in administrative support roles
Familiarity with documentation handling and record-keeping processes
Skills & Competencies
Strong organizational and administrative skills
Attention to detail and accuracy
Effective communication and coordination abilities
Ability to manage multiple tasks and meet deadlines
Proficiency in data entry and maintaining structured records
