Assistant Administration Officer
Join BSM as Assistant Administration Officer: help keep ship–shore operations smooth, organize records, support training, and drive continuous improvement with a collaborative team.
As an Assistant Administration Officer at BSM, you will provide essential administrative and operational support across office functions to ensure efficient day-to-day running of the business. You will work closely with multiple teams to coordinate administrative tasks, maintain accurate records, and support continuous improvement of processes that connect ship and shore.
Key Responsibilities
General administrative duties as required by the MTC Training Manager.
Provide information regarding internal and external training courses and programs as requested.
Supply information regarding the scope and content of the courses to SMC and CSC Training Superintendents.
Issues course certificates to seafarers.
Arrange type specific ECDIS courses.
Maintain database up-to-date with records of seafarers completion of training courses administered by the MTC, including those delivered at CSC. Long distance / remotely, etc.
Support the training and galley operations by preparing the documents required for purchasing and payment of galley provisions and office supplies
Monitor office maintenance needs, including facilities, equipment, and supplies, and report issues promptly for resolution.
Update the AOH list and organizational chart.
Support engagement activities from planning to organizing.
Account creation and deletion for new and departing employees.
Work on standalone training projects as project administrator as and when directed by Training Manager.
Serve as the point person for administrative operations in the absence of the Administrative Officer, ensuring continuity of services and decision-making.
Operate the BSM van and other company vehicles to safely and efficiently transport internal and external clients for official business needs.
Perform messenger duties by ensuring the timely, accurate, and secure delivery of documents and completing related administrative tasks to support overall office operations.
Other duties as may be assigned by the Training Manager.
Qualifications & Experience
Bachelor’s degree relevant to the job
2 years’ experience within a ship management department, or a training and development role, or an administrative role.
ISO 9001 training
Skills & Competencies
Strong organizational and administrative skills
Intermediate knowledge of Microsoft 365 applications including Outlook, Teams, Excel and PPT.
Ability to multitask and work independently
Owns a valid Philippine Driver’s License and can operate both manual and automatic vehicles (e.g. motorcycle and 4-wheel vehicles, including vans)
Basic knowledge of maritime training and development framework e.g. employers’ obligations, training prerequisites, etc.
Basic knowledge of trends and concepts in training
Good communication skills
Fluency in English and in local language
PC literacy
