Overview
As a Port Operation Coordinator at Waypoint Port Services, you will be responsible for coordinating port activities to ensure efficient, compliant and cost‑effective operations for our managed vessels. The role requires close collaboration with ship, shore and port agents to facilitate smooth port calls, optimised turnaround times and adherence to regulatory and company procedures.
Key Responsibilities
Plan and coordinate port calls, including berth arrangements, pilotage, towage, bunkering, stores delivery and crew changes in liaison with ship masters, port agents and terminal operators.
Prepare and review port call documentation, voyage instructions, berthing plans and agent confirmations to ensure accuracy and completeness.
Monitor and manage port-related costs, obtain cost estimates and approvals, and ensure timely invoicing and reconciliation with the commercial and accounts teams.
Ensure compliance with local port regulations, customs, immigration and health requirements; coordinate with authorities to obtain necessary clearances.
Track vessel schedules and promote proactive planning to minimise delays and optimise port stay; provide timely updates to internal stakeholders and clients.
Liaise with technical and procurement teams to coordinate repairs, spare parts deliveries and contractors during port calls.
Assist with risk assessments and contingency planning for port operations, including safety, security and environmental considerations.
Maintain accurate records of port operations, agent communications, and incident reports; support audits and investigations as required.
Develop and maintain strong relationships with port agents, terminal operators and service providers to secure reliable and competitive services.
Support continuous improvement initiatives by identifying opportunities to streamline port processes and reduce costs.
Qualifications & Experience
University degree or diploma in logistics, maritime studies, shipping, supply chain or a related discipline, or equivalent practical experience.
Minimum 2–4 years' experience in port operations, ship agency, ship management or a related maritime role.
Skills & Competencies
Good understanding of port operations, local regulations and typical port services.
Strong organisational skills with the ability to prioritise competing tasks and meet tight deadlines.
Excellent communication and interpersonal skills, capable of working with multicultural teams and external partners.
Attention to detail and accuracy in documentation and cost control.
Proactive problem‑solver with sound judgement and the ability to manage incidents calmly.
Basic IT literacy including MS Office; familiarity with port management or shipping software is advantageous.
Fluency in English; additional languages desirable.
